Admissions Coordinator
Location: Hybrid (1–2 days in office per week) — must reside in California
The Admissions Coordinator supports the Intake Director and operations team in the daily coordination of client admissions across all Hired Power programs. This role is responsible for managing inquiries, coordinating with families and referral sources, completing admission paperwork, and ensuring a smooth admissions process. The Admissions Coordinator also provides administrative support, maintains accurate records, and represents the program professionally to prospective clients and community partners. This is a hybrid position, requiring 1–2 days per week in office, and candidates must live in the state of California.
Administrative
- Collaborate with clinical and operational departments on all intakes and admissions.
- Create and update client intake forms for clients and financial guarantors.
- Collect, manage, and maintain all admission documentation, including entry and conversion of clients in the electronic health records (EHR) system.
- Prepare and distribute “Welcome” and “Information Packets” for families and professionals touring the facility.
Intake/Admissions
- Serve as the first point of contact for families, referral sources, and individuals inquiring about the program, providing details on the admissions process, financial arrangements, and program structure.
- Accurately document all communication in the company CRM system.
- Adhere to ethical standards and admissions procedures as directed by management.
- Screen and assess prospective clients for clinical, medical, and financial appropriateness for admission.
- Maintain up-to-date knowledge of local treatment resources to make appropriate referrals when necessary.
- Provide support for incoming admissions calls as needed.
- Attend community marketing events to build and strengthen referral relationships.
Admission Day Coordination
- Facilitate and oversee the client’s admission process, including completion and review of all paperwork.
- Thoroughly explain admission documents to clients and families.
- Ensure accuracy and completeness of all documentation.
- Enter necessary information into the EHR system.
- Coordinate financial arrangements and funding for treatment services.
Knowledge & Skills
- Minimum of two (2) years’ experience in a mental health or behavioral health setting.
- At least six (6) months of intake/admissions experience preferred.
- Strong ability to explain insurance policies and out-of-network coverage.
- Familiarity with treatment modalities and clinical/psychological terminology.
- Excellent communication, interpersonal, and organizational skills.
- Strong attention to detail with ability to manage sensitive and confidential information.
Education & Training
- High School Diploma or GED required.
- Bachelor’s Degree in Psychology or a related field required.
- Addiction Certification (CADC/CATC) preferred.
- Experience with Kipu or other EHR/CRM systems preferred.
